PRIVACY POLICY
This policy explains how BuzzFam! handles personal information from visitors, leads, customers, and authorized users.
BuzzFam! Advertising ("BuzzFam!," "we," "us") respects your privacy. This Privacy Policy describes the personal information we collect, where it comes from, why we use it, when we disclose it, and the choices available to you.
1. WHOM THIS POLICY COVeRS
This policy applies to people who visit buzzfam.biz, submit a form, communicate with us, purchase or use BuzzFam! services, or access a BuzzFam!-supported client workspace. It does not replace the privacy policy of a BuzzFam! client whose customers or contacts appear in that client's systems.
When a client places its own customer, lead, employee, or contact data in GoHighLevel or another supported system, the client decides why that data is used. BuzzFam! processes it to provide services for the client. People asking about that data should normally contact the client first, and we will assist the client as reasonably required.
2. INFORMATION We COLLeCT
The information we collect depends on how you interact with us and may include:
- Contact and identity information: name, business name, role, email address, phone number, mailing address, and preferred contact method.
- Account and order information: selected services, Order Forms, account identifiers, authorized users, approvals, rejection notes, support requests, and service history.
- Onboarding and brand information: audience, offers, brand voice, products, services, goals, content preferences, factual claims, Brand Guidelines, and other business details supplied for the work.
- Files and media: logos, fonts, photos, videos, audio, testimonials, website materials, documents, and other files you upload or share.
- Content-production information: prompts, drafts, generated or edited content, quality-review results, proposed dates, approval status, and publishing records.
- Client system data: contacts, conversations, appointments, forms, workflows, pipeline activity, and related information in a client's connected systems, but only when needed for the ordered services.
- Billing information: invoices, subscription status, transaction amount, payment status, and limited payment identifiers. A payment processor generally handles full card or bank details, and BuzzFam! does not need the complete account number.
- Communications: emails, form submissions, meeting notes, feedback, and records of support or service communications.
- Device and usage information: IP address, browser and device type, approximate location derived from IP, requested pages, timestamps, referring page, error records, and security or access logs.
Please do not send passwords, full payment-card details, government identification numbers, medical records, or other sensitive personal information unless BuzzFam! has specifically requested it through an approved secure process.
3. WHeRe INFORMATION COMeS FROM
We collect information directly from you, from your Authorized Approver or coworkers, from forms and files you submit, from your connected accounts and GoHighLevel sub-account, from service providers working for us, and automatically through normal hosting, security, and website operations. A client may also provide information about its own contacts when BuzzFam! is performing services for that client.
4. HOW We USe INFORMATION
We use personal information to:
- respond to questions, evaluate fit, prepare an Order Form, and onboard a client;
- build Brand Guidelines and provide the purchased marketing, content, CRM, website, SEO, and related services;
- create, adapt, quality-check, deliver, approve, schedule, and publish content according to the client's instructions;
- operate client workspaces, connected accounts, forms, workflows, calendars, reporting, and support;
- process billing, maintain business records, and prevent or address failed payments and fraud;
- communicate about service, approvals, account connections, security, changes, and support;
- protect BuzzFam!, our clients, users, connected platforms, and the public from abuse, unlawful activity, security threats, and policy violations;
- debug, maintain, measure, and improve our services, preferably using aggregated or de-identified information when practical; and
- comply with law, enforce agreements, and establish or defend legal claims.
We do not use a client's name, logo, content, results, or story in a public portfolio or promotion unless that client affirmatively opts in in writing.
5. AI AND AUTOMATION
When included in a client's service, BuzzFam! may send relevant brand information, source material, instructions, and draft content to artificial-intelligence and automation providers to create or inspect content. OpenAI may be used for writing, adaptation, image production, structured output, and quality review. We seek to limit those inputs to information reasonably needed for the task.
Clients should not place unnecessary sensitive personal information, confidential personnel data, regulated records, or trade secrets in content-generation instructions. AI-assisted output and related review information may be stored with the client project and approval history.
6. WHeN We DISCLOSe INFORMATION
We may disclose information to service providers that help us operate or deliver services, subject to their contracts, privacy terms, and the access reasonably needed for their work. Depending on the service, these may include:
- Netlify: website hosting, form handling, deployment, security, and operational logs;
- GoHighLevel: CRM, client sub-accounts, forms, workflows, approval records, publishing, messaging, calendars, and reporting;
- OpenAI: AI-assisted content generation, adaptation, media production, structured processing, and quality review when those features are used;
- Payment processors, such as Stripe when enabled: payment authorization, recurring billing, fraud prevention, refunds, and transaction records;
- Hosting, domain, email, storage, monitoring, security, and professional-service providers: only as reasonably needed to operate and protect the business or obtain legal, accounting, insurance, and technical support; and
- Connected social, search, website, email, and publishing platforms: when the client directs us to deliver or publish approved material through those services.
We may also disclose information when reasonably necessary to comply with law or legal process, protect rights or safety, investigate fraud or abuse, enforce an agreement, or complete a merger, financing, reorganization, or sale of all or part of the business. A successor would receive information subject to applicable privacy obligations.
7. NO SALe OF PeRSONAL INFORMATION
BuzzFam! does not sell personal information for money. We also do not share personal information for cross-context behavioral advertising as those terms are defined by California privacy law. We do not knowingly sell or share the personal information of anyone under 16.
8. COOKIeS, LOCAL STORAGe, AND ANALYTICS
Our public website currently uses limited functional browser storage for site features and preferences, plus ordinary hosting, security, and request logs. It does not currently use broad behavioral-advertising tracking. Third-party pages or client portals, including GoHighLevel, may use their own cookies and storage under their own policies.
If BuzzFam! later adds material analytics or advertising technology, we will update this policy and provide any notice or choice required by law. You may control cookies and local storage through your browser, although clearing or blocking them may reset or limit a site feature.
9. DO NOT TRACK
Some browsers send a Do Not Track signal. There is no universally accepted standard for responding to that signal, so our website does not currently respond to it. We do not currently use the public website for cross-site behavioral advertising.
10. DATA ReTeNTION
We keep information only as long as reasonably needed for the purposes described here, the client's Order Form, security, dispute resolution, and legal, tax, insurance, and accounting obligations.
- Active client content, working files, and client system data are generally kept during service and for up to 60 days after service ends to support offboarding, unless the client requests an earlier permitted deletion or a longer period is required.
- Contracts, invoices, payment records, approvals, and important service records may be kept for up to seven years or longer when law or an active claim requires it.
- Website and security logs are kept according to operational need and the retention settings of the applicable provider.
- Backups may retain a copy until the normal backup cycle replaces it. Published content may remain on a client's or third party's platform until the client or platform removes it.
We may keep aggregated or de-identified information that no longer reasonably identifies an individual.
11. SeCURITY
BuzzFam! uses reasonable administrative, technical, and organizational safeguards appropriate to the information and service, including access controls, limited permissions, account security practices, and reputable service providers. No website, transmission, cloud platform, or storage system can be guaranteed completely secure. Please notify us promptly if you believe an account, approval record, or communication has been compromised.
12. YOUR CHOICeS AND RIGHTS
Depending on where you live and subject to legal exceptions, you may have the right to request access to, correction of, deletion of, or a copy of personal information about you. You may also have the right to know the categories, sources, purposes, and recipients of that information, to limit certain uses of sensitive information, or to appeal a denied request.
You may opt out of nonessential marketing email by using its unsubscribe method or contacting us. Service, billing, security, and approval messages may still be necessary while you have an active account or Order Form.
To make a privacy request, email hello@buzzfam.biz with the subject "Privacy Request." Describe your request and the relationship through which BuzzFam! may have your information. We may need to verify your identity and authority before acting. An authorized agent may submit a request where permitted by law, but we may request proof of authority. We will not discriminate against you for exercising an applicable privacy right.
If your information belongs to a BuzzFam! client's CRM, contact list, or customer workflow, please identify that client. We may direct the request to the client because the client controls that information.
13. CHILDReN
BuzzFam!'s website and services are intended for businesses and are not directed to children under 13. We do not knowingly collect personal information directly from a child under 13. If you believe a child has provided personal information to us, contact us so we can investigate and delete it when appropriate.
14. THIRD-PARTY LINKS AND SeRVICeS
Our website and services may link to or connect with third-party sites and platforms. Their privacy and security practices are controlled by their own policies, not this one. Review those policies before providing information or connecting an account.
15. CHANGeS TO THIS POLICY
We may update this Privacy Policy as our services, vendors, or legal obligations change. We will post the updated version here and change the effective date. If a change materially affects active clients, we will provide additional notice through the contact information or client workspace when reasonably required.
